FINANCIAL/PASTORAL SECRETARY JOB DESCRIPTION:

The financial/pastoral secretary will serve as the personal secretary for the Pastor, working with the correspondence, files, reports, publications, and membership rolls related to his ministry involving the entire church family. The Pastor will supervise the Financial/Pastoral Secretary. This position will coordinate work with other secretaries as time permits and as priorities indicate. The duties are as follows:

  • Receive, assist in counting and depositing all receipts (including First Steps and Upward Programs)
        according to church procedure.
  • Post general ledger receipt of merchandise, and total all invoices when received, inform      responsible persons of their budget expenditures.
  • Prepare bank reconciliation statements monthly.
  • Prepare financial reports for Finance Committee and the church body.
  • Check, verify receipts of merchandise, and total all invoices when received, inform responsible     persons of their budget expenditures.
  • Prepare and issue checks in accordance with church policy.
  • Prepare and monitor all purchase orders for all supplies and equipment and maintain all purchase     order forms.
  • Maintain payroll and benefit records of each employee’s sick, vacation, and holiday leave balance.
  • Serve as receptionist and answer phones as needed.
  • Assist Records/Education Secretary in maintaining the “church calendar”.
  • Operate copy machine.
  • Must have proficiency operating a Personal Computer (PC).
  • Take and transcribe dictation of the Pastor.
  • Maintain files and work area in a neat and orderly manner.
  • Serve as secretary at Business Meetings.
  • Other duties as assigned.
